Attendees registering in advance will find their badge and conference materials at the American Heart Association registration desk at the Westin Waterfront Hotel.

Information for International Attendees
This section of our website provides our international audience with important information, including links to consulates and embassies, to help you obtain your visa.  Please begin your visa application process as soon as possible.  Consulates in some countries take several months to process applications.  If you require a personalized visa invitation letter, you must register for this conference first.  A letter will automatically be sent to you afterwards via e-mail.

Media Registrants
Reporters, writers, producers or editors with credentials from a newspaper, magazine, online news service, radio or TV network or station, wire service and syndicate may register to attend the Basic Cardiovascular Sciences Scientific Sessions.  Media interested in attending should contact the Corporate and Media Communications office at (214) 706-1396 or visit the newsroom website.

Registrants who cancel must request a refund of fees paid in writing. Cancellation requests received at Convention Data Services by June 25, 2019, midnight EST will be processed, less a $75 administrative fee. No refunds will be issued until 7 – 15 days post-event. No refunds will be made after June 25, 2019. Ticketed events are non-refundable. Refunds will not be granted for no-shows after the conference. No refunds will be issued onsite.

Payment Details
Full payment must be received with your registration form. Make checks payable to the American Heart Association or charge your registration to American Express, Discover, VISA or MasterCard. Registrations without complete payment will not be processed. Wire transfers and purchase orders are not accepted.

Written Confirmation
Registrants will receive written confirmation/receipt of registration via e-mail. 

Please Note: The American Heart Association shall not be liable for cancellation of the Basic Cardiovascular Sciences Scientific Sessions caused by labor strikes, civil disorders, fires, weather conditions, or other acts of God or for any damages or losses resulting from such cancellation.

Membership Discounts

You must be an AHA Professional Member at the time of registration to qualify for discounted member rates.

Requirements for Discounted Rates

  • Student/TraineeVerification of status is required either by mailing to Convention Data Services in advance or by bringing verification letter onsite. Must still be in training as an undergraduate, graduate, or postdoctoral/clinical fellow.
  • TechnicianVerification of status is required either by mailing to Convention Data Services in advance or by bringing verification letter onsite. Must be full-time laboratory technician, research technician or cardiovascular technologist.

    Before receiving registration materials onsite, member and nonmember Student/Trainee or Technicians must provide proof of status with a current license or certificate, student ID or a letter written on official letterhead and signed by department head, mentor or supervisor. The full nonmember fee will be charged if verification is not provided.

  • Nurse, Nurse Practitioner, EMT/Paramedic — Must be Plus, Premium or General Professional Member of the AHA/ASA, and full-time practicing licensed and/or certified nurse, paramedic or EMT. Badge reads "Nurse/Nurse Practitioner" or "EMT/Paramedic" respectively. Note: Non-member nurses, paramedics or EMTs who join at the Early Career level are not eligible for the discounted rates.
  • Early Career — Category is restricted to investigators, clinicians or health professionals who have completed training within the last four years. Also applies to physicians or scientists in their first four years after their first faculty appointment. Note: Early Career Nonmembers will be asked a series of qualifying questions during the online registration process. AHA has the right to charge the appropriate nonmember rate if Early Career Nonmember registration is not applicable. 
  • Premium Emeritus Member — Category is limited to professional members 65 years or older who have requested and received emeritus status from the association before registering.

Important Visa Information for International Registrants

Visa Information Letter
Begin your visa application process as soon as possible. Consulates in some countries take several months to process applications.

Invitation Letters
Invitation letters will be available only after your registration has been confirmed. You can submit this letter with your visa application to verify the name, dates, location and purpose of BCVS 2019.

Attendance Verification Documentation
There are two types of verification generated through the registration process:

  • Official Letter of Invitation for Meeting Attendees: This letter will be generated only after your registration has been confirmed. You can submit this letter with your visa application to verify the name, dates, location and purpose of BCVS 2019.
  • Registration Confirmation: Once you have registered for the meeting, you will receive an e-mail confirmation that you can refer to during your visa interview.

Visa Delays
If your visa application to attend BCVS 2019 is pending after 45 days and you feel you are at risk to miss the conference, report your case to the National Academies. Complete the questionnaire (opens in new window) and answer the question "Purpose of Visit" by typing "AHA BCVS 2019" to help the National Academies identify you as an AHA BCVS 2019 Scientific Sessions meeting participant.

Visa Denials
Registration Refunds Due to a Visa Denial: Visa processing may require long lead times. Please plan accordingly! We highly recommend you apply for the U.S. visa three to four months in advance. If your visa has been denied and you would like to be considered for registration refund, please make sure you have either an official denial document from the U.S. consulate or a stamped copy of your application form, showing the date when you applied and the date your visa application has been denied.

Visa Waivers
Travelers from the 27 countries with visa waivers - New passports issued by the Visa Waiver Program countries on or after Oct. 26, 2006 must be e-Passports that include an integrated computer chip. If your passport does not have this feature, you can still travel without a visa if it is a valid passport issued:

  • Between Oct. 26, 2005 and Oct. 25, 2006, and includes a digital photograph, or
  • Before Oct. 25, 2005, and includes a machine-readable area.

If you were issued a passport on or after Oct. 26, 2006, and it is not an e-Passport, you will need to obtain a visa waiver to attend BCVS 2019 Scientific Sessions : U.S. Visa Waiver Program (opens in new window)
