Guest registration is defined as a spouse or family member of a professional registrant or a guest of an exhibiting company. A guest registrant must not be in the medical field to register as such. Guest registrants are only permitted in the Science & Technology Hall. If you wish to access the full meeting, full registration is required. Upon onsite registration, all guests must present a Government issued photo ID and be accompanied by the conference registrant before receiving a badge onsite.

Badge Information

  • Badges will NOT be mailed in advance. All registrants must plan accordingly in picking up your badge(s) onsite.
  • Lost Badges: There will be a $20 charge to reissue lost badges onsite — no exceptions.
  • Speaker Registration: Speakers should pick up badges at Speaker Registration located in the main registration area.

Refunds, Substitution and Name Change Policy
  • Refunds on or before the due date of October 11, 2016 will be provided less a $75 processing fee. No refunds will be given after October 11, 2016.
  • Substitutions are allowed but the registration type will not change. You may only submit substitutions for equal type registrations (i.e. Nurse to Nurse, Member to Member, Nonmember to Nonmember). A $20 fee will apply per substitution.

Cancellation Policy
CDS must receive written notice by October 11, 2016, 12:00 Midnight EST in order to receive a refund less $75 processing fee. Cancellation requests received after October 11, 2016, 12:00 Midnight EST will not be refunded. Ticketed events are non-refundable. No refunds will be issued until 7 – 15 days post event.

Membership Discounts

You must become an AHA/ASA Professional AHA/ASA Professional Member by September 6, 2016 to qualify for Early Registration rates for Scientific Sessions 2016.

You must become an AHA/ASA Professional Member by October 11, 2016  to qualify for Advance Registration rates for Scientific Sessions 2016. Individuals who join AHA or renew an AHA membership after October 11 do not qualify for discounted member registration rates. Nonmember rates will apply.

Requirements for Discounted Rates

  • Student/Trainee—Must be full-time medical, nursing or graduate student, or full-time fellow (postdoctoral/clinical research) or house officer enrolled in a training program. Verification is required. Please read below.
  • Technician (Verification of status is required either by mailing to Convention Data Services in advance or by bringing verification letter onsite)—Must be full-time laboratory technician, research technician or cardiovascular technologist. (Registrations will not be confirmed until this documentation has been presented.) Verification is required. Please read below.
  • Before receiving registration materials onsite, member and nonmember Student/Trainee or Technicians must provide proof of status with a current license or certificate, student ID or a letter written on official letterhead and signed by department head, mentor or supervisor. The full nonmember fee will be charged if verification is not provided.

  • Nurse, Paramedic or EMT — Must be Plus, Premium or General Professional Member of the AHA/ASA, and full-time practicing licensed and/or certified nurse, paramedic or EMT. Note: Nonmember nurses, paramedics or EMTs who join at the Early Career level are not eligible for the discounted rates.
  • Early Career Member — Category is restricted to investigators, clinicians or health professionals who have completed training within the last five years. Also applies to physicians or scientists in their first five years after faculty appointment. Note: Discounted rates are only available to members in this category.
  • Premium Emeritus Member — Category is limited to professional members 65 years or older who have requested and received emeritus status from the association before registering.

AHA Policies Regarding Infants and Children

  • Children over 6 months and under the age of 18 years are not allowed in the Science and Technology Hall.
  • Infants under the age of 6 months are allowed in the Science and Technology Hall during exhibit hours only.
  • Parents of infants must sign a liability waiver onsite that reflects permission has been given for the infant to be carried into the Science and Technology Hall.
  • For reasons of insurance liability and safety, infants must be held at all times.
  • Strollers and infant carriers are not allowed in the Science and Technology Hall.
  • Because of limited seating capacity and the highly technical nature of the program, children are not allowed to attend presentations.
  • For safety reasons, children are not permitted in the Poster Hall.

Important Visa Information for International Registrants

Visa Information Letter
Begin your visa application process as soon as possible. Consulates in some countries take several months to process applications.

Invitation Letters
Invitation letters will be available only after your registration has been confirmed. You can submit this letter with your visa application to verify the name, dates, location and purpose of Scientific Sessions 2016.

Attendance Verification Documentation
There are two types of verification generated through the registration process:

  • Official Letter of Invitation for Meeting Attendees: This letter will be generated only after your registration has been confirmed. You can submit this letter with your visa application to verify the name, dates, location and purpose of Scientific Sessions 2016. 
  • Registration Confirmation: Once you have registered for the meeting, you will receive an e-mail confirmation that you can refer to during your visa interview.

Visa Delays
If your visa application to attend Scientific Sessions 2016 is pending after 45 days and you feel you are at risk to miss the conference, report your case to the National Academies. Complete the questionnaire (opens in new window) and answer the question "Purpose of Visit" by typing "AHA Scientific Sessions 2015" to help the National Academies identify you as an AHA Scientific Sessions 2016 meeting participant.

Visa Denials
Registration Refunds Due to a Visa Denial: Visa processing may require long lead times. Please plan accordingly! We highly recommend you apply for the U.S. visa three to four months in advance. If your visa has been denied and you would like to be considered for registration refund, please make sure you have either an official denial document from the U.S. consulate or a stamped copy of your application form, showing the date when you applied and the date your visa application has been denied.

Travelers from the 27 countries with visa waivers - New passports issued by the Visa Waiver Program countries on or after Oct. 26, 2006 must be e-Passports that include an integrated computer chip. If your passport does not have this feature, you can still travel without a visa if it is a valid passport issued:
  • Between Oct. 26, 2005 and Oct. 25, 2006, and includes a digital photograph, or
  • Before Oct. 25, 2005, and includes a machine-readable area.

If you were issued a passport on or after Oct. 26, 2006, and it is not an e-Passport, you will need to obtain a visa waiver to attend Scientific Sessions 2016: U.S. Visa Waiver Program (opens in new window)

Tax-Free Shopping
International visitors are eligible for Tax Free Shopping while in Louisiana by following three simple steps:

  1. Shop at participating merchants (opens in new window)
  2. Present a photo ID at time of purchase and ask for a "tax-free voucher"
  3. Bring your passport and convention ID badge, along with the vouchers and sales receipts, to a refund center
